Client resource hubs

A repeatable structure for organizing client references, assets, and decisions without losing context.

Start with a core directory

Clients want clarity. Freelancers want less back and forth. A small, well-structured resource hub solves both problems. It becomes the single place for references, brand assets, and decisions.

Create one directory for the client and add a simple description that explains what belongs there. If the client will see it, use plain language.

  • Example: "Client A - Website Redesign"
  • Description: "Brief, brand assets, inspiration, and final handoff."

Use sub-directories by phase

Break work into phases so the client can follow progress:

  • Discovery and research
  • Design references
  • Feedback and decisions
  • Final assets

Always add context in notes

Notes prevent confusion. A simple note can explain why a link matters, what you want the client to focus on, and the next step.

  • "Use this as layout inspiration for the hero section."
  • "Final logo export in SVG and PNG."
  • "Decision: choose option B by Friday."

Capture decisions in one place

If you use LinkBoard polls, keep voting in the same directory where the references live. It makes the decision traceable later.

Make sharing easy and safe

If you need the client to access the hub, use a public directory only when it is appropriate. For sensitive materials, keep it private and invite collaborators directly.

  • Public: inspiration, open references, public documentation
  • Private: contracts, private recordings, internal notes

End with a clean handoff

Create a final directory with approved assets, final links, and a short summary. This saves future emails and makes offboarding smoother.
